For times where a customer has a balance in Accounts Receivable that you wish to refund to the customer, use the steps depending on how you intend to follow through with the refund:
If you intend to write the check out of your third party accounting software:
1.Create a beginning balance invoice in FocalPoint for the amount of the credit (6-9-7 from the main menu). 2.Apply the accounts receivable credit in FocalPoint to the invoice you just created (6-5-2 from the main menu). a.Open the customer record in the customer file, 6-2 from the main menu. b.Go to the Invoice History tab, then select Unapplied Payments. c.Right click on the credit and apply it to the invoice that you created in step 1. 3.In your accounting software, when prompted for the account to offset the fact that you are reducing your cash, choose the Accounts Receivable account related to FocalPoint. |
If you intend to give the customer cash out of your cash drawer that is tracked in FocalPoint
1.Make sure you have a misc pay reason pointed to the accounts receivable account related to FocalPoint (3-C from the main menu) 2.Create Miscellaneous Pay-Out record 1-4-3 from the main menu). Choose the reason code mentioned in the above step. 3.Check the flag "Create Invoice" on the Miscellaneous Pay Out screen. 4.Apply the credit in FocalPoint to the invoice you just created. a.Open the customer record in the customer file, 6-2 from the main menu. b.Go to the Invoice History tab, then select Unapplied Payments. c.Right click on the credit and apply it to the invoice that you created in step 3. |

1.Enter the payment on account for the full amount you were paid. 2.Follow one of the three methods above depending on how you want to give the customer their change. |
